Is my data safe?

How Rinkel protects your data and your customers’ data: ISO certification, two-factor authentication (2FA), call recordings and AI insights. Learn what you can do yourself and what Rinkel takes care of behind the scenes.

Short answer: Yes. At Rinkel, data security isn't a checkbox—it's the foundation the whole product is built on. Here's how Rinkel protects your data and your customers', and what you can manage yourself in a few clicks.

How Rinkel handles your data

Rinkel BV is based in Rotterdam, the Netherlands and operates under Dutch and European law. In practice, that means:

  • Privacy-first by design. We handle your data in accordance with applicable data protection laws. Your call data belongs to you—not us, not third parties.

  • ISO-certified. Our processes and infrastructure are independently audited against international information security standards.

  • No data selling. Rinkel never sells customer data or call content to advertisers or analytics companies.


Logging in with 2FA

Since April 2026, two-factor authentication (2FA) is mandatory for all Rinkel accounts. Every time you log in, you'll receive a one-time code by email alongside your password. A stolen password alone is no longer enough to access your account.

Changing your login email address:

  1. Log in to MyRinkel.

  2. Click on your profile picture or initials.

  3. Go to Login details.

  4. Update your email address and save.

Lost access to your 2FA email address? ❗

Can't access the email address where you receive your 2FA codes? Contact us by chat or mail from an e-mail we can verify (for example, the e-mail your invoices are sent to). We'll update it for you.


Call recordings and retention period

With an Expert plan, calls are recorded automatically. Here's what applies to those recordings:

  • Retention period: 90 days. After that, recordings are permanently deleted from Rinkel's systems.

  • Access. Only you and users you've explicitly granted access to within your account can listen to recordings.

  • Keeping recordings longer. Want to hold onto a call? Download it within 90 days and save it to your own archive.

Please note when downgrading. Switching from Expert to Professional or Essential? You'll lose access to your recorded calls. Download any recordings you want to keep before making the switch.


AI Insights and privacy

AI Insights creates summaries, identifies topics and measures the sentiment of your calls. Here's how Rinkel does that without compromising your privacy:

  • Fully opt-in. AI Insights is off by default. Calls are only analysed when an Admin switches it on for a specific user or number.

  • Our word on it. AI Insights switched off? Then nothing is analysed—nothing at all. No background processing, no "for research purposes".

  • GDPR-compliant. AI Insights meets all requirements under the General Data Protection Regulation.

  • Manage per user and number. As an Admin, you decide exactly who and which numbers use the processing. Switch it off at any time via General settings > AI Insights > Manage AI Insights.


What can you do yourself?

Security is a shared responsibility. Three things you can take care of today:

  • Strong password. Use a unique password of at least 12 characters—letters, numbers and symbols. Don't reuse passwords from other services.

  • Check your users. In MyRinkel, go to General settings > Users and make sure everyone with access should have it. Former colleagues or freelancers who've moved on? You can remove them.

  • Admin rights—carefully. Only give Admin rights to people who need to manage subscriptions, invoices and payment methods. For everyday use, standard user rights are sufficient.


Frequently asked questions

Where is my data stored?

Rinkel BV is a Dutch company based in Rotterdam. Your data is protected under the GDPR and governed by Dutch law.

Who can listen to my call recordings?

Only you and users in your account who have access to that number. Rinkel employees don't listen to recordings—they're processed automatically, not manually reviewed.

Can I request or delete my data?

Yes. Under the GDPR, you have the right to access, correct and delete your personal data. Send your request by e-mail. Please note that call recordings and billing data are subject to legal retention periods that we're required to follow.

What happens to my data if I cancel?

After cancellation, we only retain data we're legally required to keep (such as invoices, for 7 years for tax purposes). Everything else is deleted in line with our retention policy.

Does 2FA work with an authenticator app?

Currently, 2FA works via email. We're working on support for authenticator apps like Google Authenticator and Authy.
