Setting up a call menu: how it works

How to set up and switch on a call menu in MyRinkel or the app, and the questions we get asked most.

Written by Shay Phan

With a call menu, every caller lands at the right department straight away — "press 1 for support, press 2 for sales" and so on. No back-and-forth, no lost calls. Below you'll read how to set it up and what's changed recently.

Good to know❗

The call menu is an Expert feature. You set it up per number. One call menu per number. We don't support a menu within a menu (multiple levels).

Setting up a call menu

The steps are the same in MyRinkel (desktop) and the Rinkel app.

  1. Open your number settings and pick the right number.

    • In MyRinkel: go to Number settings and choose the number from the dropdown.

    • In the Rinkel app: tap your profile icon (top right) and choose the number.

  2. Go to Forwarding > Call menu. This is where you manage everything to do with your call menu.

  3. Choose a recording. This is what callers hear when they reach the menu, for example: "Welcome to [business name]. Press 1 for sales, press 2 for support." No recording yet? Create one under Recordings, or order a professional voice-over.

  4. Set up your keys. For each key, decide what happens when a caller presses it: forward the call, send it to a queue, or send it to voicemail.

  5. Save and activate. Click Save, then click Save once more to activate your call menu.

Don't forget the default key❗

Assign one key as the default choice. That way, callers who don't press anything still end up somewhere — without a default key, the call drops after a few repeats.

What can you put behind a key?

  • Forward to a number or user: enter one or more numbers and choose the logic, all at once or one by one.

  • Queue (Expert): handy when one department often gets several calls at the same time. Set the waiting time and hold music.

  • Voicemail: the caller goes straight to voicemail. Record it yourself or choose an existing recording.

  • Hang up: with or without a closing message.

For each key, you can also play an in-between message, like: "Thanks, you're now being connected to support."

Frequently asked questions

My call menu does nothing when I call — what's going wrong?

Usually the call menu is set up but not actually switched on. Go back to Number settings > Forwarding > Call menu, click Save once more on the main screen, and check that a default key is chosen.

Do I need to fill in anything under Default forwarding?

No. As soon as the call menu is on, we follow these number settings.

Can I chain call menus (a menu within a menu)?

No. You can set up one call menu per number, with no sub-levels. Need a bilingual menu? Work it into a single recording: "For English, press 1; For Dutch, press 2."

What do I need: a call menu or forwarding?

Not both at once. If you activate the call menu, Default forwarding is skipped. Want to be forwarded directly again? Switch off the call menu.

Which plan is the call menu on?

Only on the Expert plan.
